Office Manager

  • Oversees and administers the day-to-day activities of the Office of the CXO, including adjusting procedures and systems to ensure productive and efficient operations and managing administrative support staff.
  • Provides assistance and support to the Chief of the department, in project planning, administration and execution of stated goals and objectives.
  • Performs research and analysis on specific issues, as required, and independently prepares non-routine letters and reports, which may be highly sensitive and confidential in nature.
  • Organizes and facilitates meetings, conferences, and other special events.
  • Ensures that all documents reaching CXO are handled in a timely manner, including incoming/outgoing mail, internal communications, business documents, faxes and courier services.
  • Assists the Chief in all recruitment related matters.
  • Generates presentation materials/graphics and business reports for review/meetings.
  • Provides and/or oversees Administration Operations staff on their handling of walk-up and phone interactions, on maintaining calendars and travel arrangements, on analyzing and responding to incoming correspondence, on handling of day-to-day challenges and situations, and on the provision of administrative support.
  • Provides assistance on the understanding and interpretation of Company policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards.
  • Assists in the coordination, supervision, and completion of special projects, as appropriate.
  • Maintains contact with the appropriate organizations and government departments in order to facilitate the exchange of information.
  • Establishes and maintains an effective filing system for all the confidential documents, reports, plans etc.
  • Ensures that confidentiality is maintained in all transactions.
  • Maintains logs, and generates statistical summary reports as required.
  • Corresponds with internal/ external stakeholders / customers and respond to enquiries in a professional and prompt manner.
  • Liaises with internal and external stakeholders as and when required.
  • Adheres to the Firm's standards as they appear in the Code of Conduct and Conflict of Interest policies
